Minutes of Committee Meeting

Attendees:
Hugh, Janne, Julie, Mailin, Mel, Paula, Sarah, Tim

Date and Time for Party:
23^rd June from 2pm to 10pm expecting to go on after
Finance:
Paula will try to persuade Bruce to be treasurer and let us know if he agrees
Hugh will find out about grants
We will ask for £2 tickets (donations if that causes permission problems)
A ticket “allows” entry and will also be a ticket for a raffle
We will try to get local businesses to fund the raffle
Julie volunteered to sell tickets on the stairs

Invitees:
We will invite:

• Marchmont Crescent North
• Marchmont Road North
• Warrender Park Road

There were some concerns about people being able to invite 15 friends from outside as well
I don’t think we came to decision about this. Or did we decide that since many of the students would be gone it would be ok?

Food:
We will provide some huge BBQs and a couple of people to cook on them for safety.
People will bring their own food to cook – but we map also provide some free stuff if people care to donate
Julie will try to get an oil drum and grills to fit from freecycle
Mailin can get a marquee to cover the food and Julie can get a gazebo
We will see if local businesses care to provide any free food
Tim has a CostCo card where we may be able to get cheap food
Music:
We need some bands
We will put something on the adverts to see if there bands in the neighbourhood
Julie will ask Manuel to play
Sarah will ask her grandson to play and about a PA system
Mel and Paula will also find out about PA systems
Movie:
We might have a movie
Mailin to look into a powerful projector and screen
Events and Attractions:
We thought of:

• · Bouncy castles

• · Races (Egg and spoon, Sack, Three legged, etc)
• · Face painting
• · Guess the weight
• · Musical chairs etc
• · Raffle (with donations from local businesses)
• · Mel will do mimes ;-)
• · Fancy dress competition for the young’uns and Julie
• · Pinata
• · Pin the tail on the donkey
• · Fortune telling

Publicity:
Mel will make us a poster
Lighting:
Janne will look into lighting (either electric or some kind of candle system)
Possibly Christmas lights on the trees
Possibly candles in sand bags
